Project Overview

SARTHAC is a custom web application built by Increaditech Innovations for Workshop on Wheels Pvt Ltd to manage and coordinate workshop operations remotely. The application replaced a mix of manual processes and generic tools with a purpose-built platform supporting real-time data sync across multiple devices and locations, mobile-optimized for field use. Since launch, SARTHAC has supported 500+ daily active users with 99.5% uptime, and directly resolved a device-specific session expiration bug that had been disrupting field operations.

Client Background

Workshop on Wheels Pvt Ltd operates workshop services that depend on coordinating staff, equipment, and job data across multiple physical locations and mobile devices in the field. As operations scaled, the need for a system that could reliably track workshop activity in real time - rather than relying on staff manually reconciling paperwork or disconnected spreadsheets at day's end - became a clear operational priority.

The Challenge

Workshop on Wheels needed a system built specifically around how their teams actually work: staff moving between locations, using different devices, and needing workshop data to stay in sync in real time regardless of which device or location they were working from. A generic off-the-shelf tool couldn't handle the device-specific session requirements their workflow demanded.

During development and early rollout, we also identified and had to resolve a subtle but disruptive device-specific session expiration bug: sessions were expiring unexpectedly on certain devices due to a time/date synchronization mismatch between device clocks and the server, logging field staff out mid-task and interrupting workshop operations at exactly the wrong moments.

Solution Architecture

SARTHAC was built as a custom web application with a modern frontend paired with a Node.js backend and MySQL database, using WebSocket connections to keep data synchronized in real time across every connected device rather than relying on manual refreshes or periodic polling.

The application was designed mobile-first from the start, since a meaningful share of usage happens on phones and tablets in workshop environments rather than at a desk. Device-aware session handling was built specifically to account for the variability in field devices - different hardware, different clock reliability, different connectivity conditions - rather than assuming the uniform environment a typical office SaaS tool is designed for.

To resolve the session expiration issue, we implemented server-side time reconciliation for session validation, so session expiry is calculated against a reliable server clock rather than trusting each device's local clock - eliminating the mismatch that had been causing unexpected logouts.

Implementation Details

Development proceeded through iterative releases with Workshop on Wheels' operational staff providing direct feedback from real field use, rather than a single large launch. This let us catch workflow friction points - like the session bug - early, with real usage data rather than guesswork.

Reporting dashboards were built alongside the core operational features so that management could see workshop activity and performance trends without needing to manually compile data from field reports, closing the loop between day-to-day operations and business oversight.

Results

Beyond the uptime and usage numbers, the practical impact for Workshop on Wheels has been operational: staff can move between devices and locations without losing session continuity, workshop data updates in real time for everyone who needs to see it, and management has reporting visibility that didn't exist with the previous manual process.
